Wells Fargo’s Chief Administrative Office (CAO) consists of enterprise functions that work together to promote and protect the Wells Fargo culture and brand, and support our team members. Groups within CAO work to protect our reputation, tell our story, bolster team member engagement, connect with our customers, and bring new and innovative solutions to life. The Administrative Assistant 4 will perform a variety of administrative duties in support of two Marketing Execution Senior Leaders and will provide some support for their direct reports. The AA 4 will also help coordinate activities and communications with the teams, provide administrative support for leaders and the team, provide PowerPoint/Excel support as needed, manage projects, provide technical support that would include setting up and managing virtual meetings across multiple locations, and may support the leaders with budgets and expenses.

_Responsibilities Include:_

/Senior Leader Support/:

  • Proactively manage calendars and coordinate meetings

  • Coordinate and complete travel arrangements for Senior Leaders

  • Process PCard expenses and invoice processing in a timely manner as well as assistance with budget planning and tracking

  • Handle confidential company materials with the highest sensitivity and discretion

  • Provide proofreading, editing and quality control of internal written communications as needed

  • Compile and support preparation of Excel documentation. Develop PowerPoint docs (e.g. org charts)

  • Act as HR administration proxy to include internal sites such as: Staff Management, Online Recruiting and PTO tracking as well as other internal monitoring systems

  • Onboard and support transition of new employees, team members and contractors reporting within the Senior Leader teams

/Floor Support:/

  • Sign for packages and manage mail distribution

  • Order/maintain office supplies for the team

  • Order technology equipment for new team members

  • Provide video conference set up and assistance

  • Help set up/manage large team meetings including room set-up, ordering meals, and other logistics.

  • Collaborate with admin staff in San Francisco and in other locations to support cross-organizational needs, and support visiting leaders.

Location: 525 Market Street, 16th floor. Possibility for occasional support in other Bay Area locations.

Required Qualifications:

  • 3+ years of administrative support experience
