JOB SUMMARY : Provides advanced clerical and computer support to Director and/or Assistant Director.
Generates department correspondence and/or reports. Coordinates with other departments and companies offices the acquisition of information needed for special projects and meetings. Develops material for supervisors’ use in responding to requests or requirements.
Utilizes MS Word and Excel to analyze, compile, update and maintain department correspondence and/or reports. Disseminates data/information to the appropriate parties. Prepares expense reports. Creates presentations and materials for special projects using MS PowerPoint and other computer programs
Reads and routes incoming mail. Processes outgoing mail. Disseminates sensitive materials to the appropriate areas.
Maintains calendars; coordinates meetings; and sets appointments. Make travel arrangements.
Answers telephones providing information requested or directs calls to the appropriate party. Greets visitors to the department and directs to appropriate party.
Maintains department files.
Provides direction, guidance, and/or training to department, clerical support.
SCOPE: Ensure the smooth operation of the department, answering and prioritizing phone calls and correspondence. Job requires a high degree of tact and confidentiality; often corresponds with guests and executives throughout the company.
EDUCATION: High school degree or GED: is required. Bachelor’s degree is preferred.
EXPERIENCE: 3-5 Years experience as a Legal Secretary with a law firm or corporate/government legal department required; or equivalent combination of education and experience. Must be proficient in MS Word and Excel; Proficiency in MS PowerPoint and SharePoint preferred; or equivalent combination of education and experience.Proficiency with telecommunication devices (e.g., iPhone) preferred.
ADDITIONAL INFORMATION: Must be able to work in a high-paced environment handling multiple tasks at the same time; and must maintain confidentiality of projects, legal and business information at all times.
