Job Summary:

The Executive Administrative Assistant is the "right-hand" partner to the President and Executive staff members. This position requires a "service mentality," an individual who is willing and able to go above and beyond, work a flexible schedule (i.e. available to work after 6:00pm), shift priorities at a moment's notice, and has the focus to provide the quality of work that represents the executive staff well. The Executive Administrative Assistant must exercise a strong degree of judgment to independently identify and resolve conflicts and problems involving the administrative function of the office that would not typically require escalation to President and staff; along with escalating atypical situations and circumstances following independent research, analysis, and development of creative recommendations. This person must be a strong communicator that serves as the liaison between the President, staff, and employees. Be able to handle a variety of complex, time sensitive and confidential situations and materials. Direct the work of administrative team and take ownership for successful completion of a variety of administrative tasks that include but are not limited to producing reports and presentations, coordinating appointments and travel arrangements, drafting correspondence, and maintaining documents and organizational system.

35% Executive Team Liaison

  • Communicates amongst the staff and both internal and external constituents by drafting correspondence or messages to deliver instructions and information on behalf of President and / or staff

  • Coordinates business functions, such as meetings, conferences, and special events; oversees and participates in preparation and event (i.e. takes meeting minutes)

  • Manages access to the staff by screening calls, visitors, and requests; schedules accordingly

35%Administrative Executive Partner & Team Supervision

  • Handles a variety of complex, time sensitive, and confidential situations and materials

  • Produces and assembles reports and presentations under direction of President and staff

  • Schedules appointments and travel arrangements

  • Maintains documents and organizational system to support the staff's accomplishment of business objectives

  • Oversees and directs the work of administrative employees to accomplish overall team mission

25% Creative Problem Resolution & Process Improvement

  • Conducts research and problem resolution for general business requests and conflicts under minimal supervision

  • Develops creative solutions for issue resolution; escalates atypical situations to staff with information to support decision-making

  • Identifies creative transactional process improvements related to the administrative function

5% Other Duties as assigned

Minimum Job Requirements:

  • 5 years of progressively responsible administrative / office management experience in fast-paced business environment required.

  • Self starter with the ability to work independently, with minimum supervision.

  • Demonstrated assertiveness and drive for results with ability to work effectively with wide range of constituents in a diverse community

  • Must possess impeccably strong organizational and time management skills

  • Demonstrated creative problem resolution skills

  • Detail-oriented with strong commitment to quality

  • Must possess effective customer service, communication, writing, and interpersonal skills.

  • Must be able to manage multiple priorities, meet deadlines, and work well under pressure

  • High degree of professionalism required

  • Demonstrated ability to handle time sensitive and confidential information in a business manner

  • Collaborative, team-oriented, service mentality, high-energy, and positive attitude required

  • Proficient with computer systems and technology, such as Microsoft Office applications including but not limited to Word, Excel, PowerPoint, Outlook

  • Business and industry knowledge a plus

  • Willing and able to work nontraditional hours to suit Executive-level schedules

  • Minimal domestic and international travel required.
