Associa Administrative Assistant - property management - on site in Brockton, Massachusetts

The administrative assistant will handle tasks to assist the Property Manager with daily property operations. This position involves daily contact with homeowners, renters and board members and requires an individual that is well-spoken, customer service-oriented and can multi task at a quick pace.

  • Organizes and prepares incoming and outgoing correspondence

  • Receives and responds to incoming phone calls and emails from owners and residents

  • Updates Madrid’s databases/lists of contact information (address, phone, email) and enter any notes into the file

  • Maintains vendor database – add/update vendor information, obtain W9 and proof of insurance

  • Assist the property manager with any directives from the Board of Trustees

  • Maintains database of fines and violations including sending notices to violators and sending billing to TDG AR Department

  • Requires at least a high school diploma or GED

  • 1 year of related clerical or administrative support experience

  • Must be able to use MS Office 2007 or later, particularly Excel and Word.

  • Must be able to adapt to management software and computer programs being utilized by the company

  • Ability to communicate effectively both verbally and in written form

  • Knowledge of the rules of grammar, sentence structure and punctuation
