Position Summary: Provides the majority of clerical support for Akeela Administration, as well as administrative support for the clinical programs in the agency. Completes general secretarial duties including typing, filing and computer input as requested. Deals with general public, answers and routes phone calls and documents to proper personnel. Principle Duties And Responsibilities Include But Are Not Limited To: Receptionist duties: Responsible for opening/closing front desk reception according to the hours of operation. Greet employees, clients, and visitors with a positive, helpful attitude. Help maintain workplace security by issuing, checking/collecting badges as necessary, and maintaining visitor logs. Answering phones in a professional manner and routing calls as necessary. Receive/sort/distribute fax, email, incoming mail, and packages, as well as prepare/process bulk mailings as required. Monitor office supplies and submit orders when necessary. AKAIMS Administrator duties: Establish and maintain staff accounts. Prepare various reports from system. Provide program training to new staff. Clinical Records duties: Process requests for clinical records from inactive/active clients and outside agencies in a timely manner. Become familiar and maintain knowledge of record processing databases and procedures. Archive inactive client files, maintain tracking list of requests, and dispose of clinical files according to agency policy. Create and process documents as needed. Schedule meetings and record minutes as directed. Assist in grant preparation and submissions as directed. Provide assistance in preparing for large training events and meetings. Record statistical data and prepare reports to meet agency and funding source requirements as assigned. Provide secretarial and clerical support to admin/program staff as directed. Perform other duties as assigned. Essential Skills-Any Equivalent Combination Of Knowledge, Skills, Abilities, Education & Experience: High school degree or equivalent required. Two (2) years or more years of receptionist and/or clerical experience required. Experience with professional office procedures and filing systems required. Demonstrated organizational and self-starter skills. Ability to meet time deadlines. Demonstrated ability to follow Akeela s Confidentiality Policy and Procedure and Code of Ethics. Excellent verbal and written communication skills. Demonstrated experience with IBM compatible computers and Windows, Microsoft Word, Excel, Access, and database software. Ability to work with a variety of office equipment, including, but not limited to, copiers, postage machines, computers, and printers. Ability to handle the position without continual supervision. Ability to function under stress. Ability to read, write and speak English.
