Providence Health & Services Administrative Assistant II - Nurse Family Partnership in Anchorage, Alaska
Providence is calling an Administrative Assistant II (Nurse Family Partnership, Day Shift, 1.0) at Providence in Home Services in Anchorage, Alaska.
The Administrative Assistant II will provide specialized administrative assistance to assigned department staff. The Nurse Family Partnership works with mothers and babies during the first 2 years. They provide home visits for families, and help new families succeed! This position will work with collecting data, working with agencies and being an important part of the organization. This position provides office support and looks for a self starter who will have great attention to detail.
In this position you will:
Act as the focal point for customer service. Provide support for all administrative office staff. Greet visitors, answer telephones, refer calls, schedule/coordinate appointments and meetings.
Assist on department specific projects, reporting requirements, and act as back-up in other business office functions. Research, collect, assemble, and/or monitor data and statistics, as required.
Perform duties of the Administrative Assistant I and Schedule Coordinator.
Coordinate and maintain agency meeting schedule including agenda, meeting minutes, and space, utilizing discretion in scheduling, rescheduling and disseminating information as appropriate.
Complete a variety of computer based tasks using word processing, spreadsheet, and presentation software applications.
Establish and maintain accurate electronic and manual filing systems for department records.
Organize and expedite the flow of department communications. Prepare, transmit, and track routine correspondence. Review and respond to incoming communications. Screen, prioritize, and perform follow up as required.
Be responsible for oversight and management of agency supplies; office and clinical. Order and maintain supplies and office equipment, as required.
Required qualifications for this position include:
High School diploma or equivalent
4 years administrative or secretarial experience
Familiarity with electronic mail, word processing, and general office equipment
Knowledge of database management and experience with data entry
Preferred qualifications for this position include:
Additional course work in secretarial sciences and personal computers
1 year experience in a medical setting with experience in medical terminology
Familiarity with medical terminology and medical staff process
