In this role the Administrative Assistant will provide exceptional administrative and secretarial support functions to the Vice President of external supply integration and their Team, relating to all aspects of the business including information of a highly sensitive and confidential nature. Resolves issues proactively through the relevant processes and procedures. Liaises with all levels across the organization and external bodies.
Supporting the VP of external supply integration and her Team in Zug.
Management of a variety of administrative tasks including managing calendar, scheduling appointments, planning meetings and organizing travelling.
Organize Regional Team Meetings, Conferences.
Support SharePoint and Procurement identity.
Diary Management of the VP; Prioritize and manage a complex schedule of commitments and ensuring that his calendar is fully maintained and accurate. Proactively notifying when there is a change in schedule.
Proven track record as a Personal/Administrative Assistant.
Previous experience in an international environment.
Good Excel, PowerPoint and grasp of IT systems.
Ability to work with a diverse team environment.
Flexible and organized.
Proactive in bringing ideas, changes and improvement in support.
Self-starter, curious, high degree of attention to detail, ability to work under pressure.
Highly discreet when working with confidentiality and sensitive data.
Outstanding project management and follow up skills.
A proactive approach and an ability to priorities and anticipate are required.
Excellent office management and interpersonal skills are essential as are good organizational abilities, and the personality of a good team player.
Very advanced written and spoken English, some German would be advantages.
Good listening skills and ability to pragmatically approach solution.

As this role supports the VP of external supply integration will need to demonstrate a high degree of flexibility including being contactable outside of office hours in urgent business circumstances and may be required to dial in from home.
