We are currently seeking experienced candidates for an Executive Administrative Assistant position to support the Chief Information Officer, AgCo Division. You will be expected to perform diverse and complex administrative support duties for executive management. Assignments will involve working with highly confidential information, necessitating exposure to sensitive material and contacts requiring considerable discretion, judgment and diplomacy, as well as a comprehensive knowledge of organizational policies and procedures. This position will require you to act on your own initiative and set up work processes to achieve desired results. You will interact with executive, administrative and senior leadership, both internally and externally, to communicate and/or gather information as required.

Responsibilities include, but notlimited to, the following:

  • Administrative support to include fielding and screeningphone calls, scheduling and calendar management, handling mail, filing,ordering supplies, travel arrangements, expense reporting, preparingdrafts of correspondence, preparing spreadsheets and presentations.

  • Coordinate and manage high levels of internal andexternal meetings to ensure all logistics, i.e. conference rooms, venue,telecommunications equipment, catering, etc., and meeting materials aremeticulously planned and prepared.

  • Coordinate extensive, complex travel arrangements -domestically and internationally.

  • Manage calendars and assist in meeting scheduleconstraints.

  • Manage confidential information flow within theorganization, exercising a high level of discretion.

  • Resolve routine and non-routine inquiries, filteringand managing requests, providing information through independent researchand use of internal/external resources.

  • Prepare and review materials and correspondence formeetings and/or events, developing agendas, compiling reports, creatingmeeting minutes and presentations.

  • Organize paperwork and files in a way that is easilyretrievable.

  • Maintain effective relationships with internal andexternal contacts.

  • Maintain and update records and electronic files asneeded.

  • Additional tasks and projects as requested.

Qualifications

  • Minimum of High School Diploma/GED equivalent. Completion of a 4 year degree is strongly preferred.

  • Minimum 10 years of experience in an administrativerole, preferably with at least 2 years supporting senior management.

  • Fortune 100 experience in an Executive Admin capacity is preferred.

  • Advanced computer skills required (Microsoft Outlook,Word, Excel, Power Point, CTE (Concur Travel and Expense),Internet/Intranet, SRM (Supplier Relationship Management, and SharePoint.

  • Demonstrated ability to take ownership, initiate andestablish priorities, anticipate needs and handle multiple taskssimultaneously under demanding time constraints, with minimal direction,in order to deliver on commitments and deadlines.

  • Demonstrated ability to anticipate problems and takepreventative action, extrapolate from previous experiences to prevent problemsbefore they impact the organization.

  • Demonstrated ability to maintain strict and completeconfidentiality and must exercise discretion and independent judgment withrespect to matters of significance.

  • Demonstrated high attention to detail with excellentorganization and planning skills along with proven ability to takeownership and drive results.

  • Ability to network across organizations and identifyresources, services, etc.

  • Demonstrated strong interpersonal and communicationskills (both verbal and written) to effectively work in a team environmentand interact positively and respectfully with internal/external contactsat all levels and generate effective and professional businesscommunications.

  • Demonstrated ability to compile data, generate spreadsheets,prepare and enhance correspondence and presentations.

  • Demonstrated willingness to accept new and differenttasks and challenges and grow in new areas of responsibility.

  • Prior experience with preparations for C levelexecutives and/or Board Interactions preferred.

  • Ability to conduct internet/intranet research as neededto supplement briefings.

  • Flexibility to adjust schedule according to businessdemands.
