Parsons is actively looking for an Administrative Assistant to support a technical project team in an active refinery in northwest Indiana. The administrative assistant will be located in an equipped trailer designated for the environmental team. We are looking for an experienced professional to support the client and multiple engineers, scientists and technicians. We are looking for someone with drive, initiative and who is highly organized and will set and act upon a schedule of tasks, activities and client deliverables. The successful candidate will be technically savvy of environmental programs and industrial plant operations.

The Administrative Assistant will perform the following functions:

Perform general finance support for Division Controls, generate and distribute other financial reports for financial reviews.

Generate and distribute overhead reports, using advanced skills in MS Word, Excel and Powerpoint to generate various office documents.

Format reports in WORD including Table of Contents, headings, bullets, tables, and figures.

Will obtain inputs from team and develop the monthly reports that will be presented to the Program Manager and Client.

Will perform editing and dissemination of talent management spreadsheets for salary adjustments, promotions and incentive programs.

Develop ad-hoc reports and documents in word and excel.

Schedule visitors to worksite and training at the refinery.

Prepare/process expense reports for the team.

Maintain division filing system and oversee document control.

Enter maintenance data into a maintenance database.

Perform general office functions like ordering office supplies, entering check requests, perform photocopying and binding for team, and organizing meetings/lunches.

Perform tasks assigned or requested by Project Manager, Client, scientists, engineers and technicians.

PREFERRED EDUCATION/EXPERIENCE:

Highschool diploma or equivalent required.

Min. of 3 years of experience, in an administrative assistant type of function, supporting technical staff and technical programs.

Experience working as an administrative assistant in an industrial setting preferred.

Prefer Experience supporting a technical team and working with employees in remote locations.

Experience interfacing with clients, and personnel at all levels.

SKILLS/COMPETENCIES :

Strong written and verbal communication, organizational, and interpersonal skills are required.

Must be proficient with performing financial data management and reporting.

Must be proficient in advanced functions of MS Word, Excel and Powerpoint.

Must have a demonstrated ability to administer a variety of activities simultaneously, set priorities, and meet deadlines.
