About the Position
Title: Administrative Assistant
Reports to: VP Controller and Chief Accounting Officer
Business Unit: Terex Corporate
Location: Westport, CT
Provide full range of executive level administrative support to VP Controller and Chief Accounting Officer and other members of Terex’s corporate finance team.
Prepare extensive travel arrangements (domestic & international) and itineraries, obtain visas, passports and other travel documents; make changes, as necessary.
Schedule, plan and coordinate logistical details for in-house and off-site meetings, including reserving physical space, preparing agendas, distributing materials, planning meals, addressing technology needs, managing invitations, etc.
Provide extensive calendar management, including assessment of conflicts and keep leaders informed of commitments.
Manage electronic reporting to SEC and assist in preparation of reports to be filed.
Timely prepare and process time and expense reports.
Maintain Closing Scorecard in Excel to track closing deadlines and criteria.
Prepare ad hoc reports in Excel as directed.
Provide support at reception desk, as needed.
May provide basic system administration support for the Hyperion Financial Management system (HFM/SmartView), once trained.
High School diploma or equivalent, associate's degree preferred.
5+ years of executive level administrative experience or equivalent, preferably in a finance setting.
Flexibility to work overtime as required.
Proven ability to balance workload under short deadlines and changing priorities in a fast paced environment.
Ability to interact effectively with all levels in the organization.
Ability to work independently, manage multiple priorities, multi-task and meet deadlines.
Excellent verbal & written communication skills.
Superior organizational skills and attention to detail.
Working knowledge of WebFilings/Edgar SEC Reporting.
Ability to handle confidential/sensitive information with discretion
Willingness to be trained on and learn new systems, including HFM/SmartView
Prior HFM/Hyperion experience is a plus.
Proficient in Microsoft Office Suite; including complex Excel spreadsheets and PowerPoint presentation design.
