Purpose of this position:

The role of Administrative Assistant is responsible for performing standard, advanced, and confidential administrative duties for the VP, managers and members of their teams within the Global Security Department. This position requires broad and comprehensive skills, experience and knowledge of organizational policies and practices. Administrative duties include scheduling and maintaining calendar of appointments, assisting with meetings and travel itineraries, coordinating related travel arrangements and supporting/participating in departmental initiatives. Other administrative duties include preparing and initiating correspondence, memoranda, presentations, meeting notes, website and case management system maintenances, assisting with visitors and resolving routine as well as complex inquiries and issues.

An ideal candidate will have excellent communication and interpersonal skills in order to effectively communicate with all levels of the organization as well as external contacts. This position requires strong organizational skills, attention to detail and follow up, ability to multi‐task and be results oriented. This position is expected to add value as a member of the function through strong administrative, organizational, technical and communication skills.

Key Responsibilities:

50% Support Duties

  • Preparing and reviewing correspondence, memoranda, presentations, meeting notes, recordings, reports, and research for all members of the department.

  • Answering/screening calls in a professional and confidential manner; greeting visitors at control access entrance.

  • When requested, making travel arrangements (domestic & international), arranging for visas, flights, hotels, etc. for members of the department.

  • Coordinate and manage calendars, coordinate and manage team schedules for complex cross‐functional global security projects (ex. Crisis Mgmt.), arranging video and audio conference calls and maintaining key contact information.

  • Monitoring Senior Executives calendars, communicating with Executive Administrative Assistants.

  • Copying materials, sending faxes, replying to Declaration of Victim Losses, and processing mail and handling confidential materials.

  • Typing of case documents via hard copy or recording.

50% Office Duties

  • Creating and maintaining filing system, manage RIM function for the department and adhering to the corporate requirements (work to determine the appropriate destruction codes); attend monthly meetings.

  • Utilize and maintain the department purchasing card, making purchases and reconciling financial transactions in expense tool.

  • Maintaining office supplies needs, ordering and receiving; maintain office equipment needs (i.e. copiers), services, and issues.

  • Create update and maintain Global Security SharePoint website on internal Cargill Connects site.

  • Administer the Global Security email and distribution lists.

  • Onboarding of new hires, scheduling appointments, updating systems, and orienting them to the department.


Minimum Requirements:

High School Diploma

2 years Administrative Assistant Experience

Exceptional Computer Skills in Microsoft Office Environment to include PowerPoint, Excel and Word

Strong attention to detail, able to produce work with an extremely high level of accuracy

Ability to take statistical data and convert to graph/table charts for presentation

Self‐motivator, with demonstrated ability to work under pressure, meet deadlines and to juggle multiple priorities

Ability to deal with highly confidential and sensitive information

Professional, positive and collegial demeanor

High level of discretion

Strong interpersonal skills and ability to work with and adjust to a variety of people at all levels of the organization

Highly collaborative

Preferred Qualifications:

Associate´s Degree

4 years Administrative Assistant Experience
