Citizant Receptionist/Administrative Assistant in United States

Citizant is seeking a motivated, organized and detail-oriented Receptionist to support day-to-day business operations. This is a full-time, hourly position with benefits.
The Receptionist, reporting to the Manager of Human Resources, will be responsible for answering incoming calls, directing calls to appropriate staff, distributing mail and providing additional clerical support. The Receptionist is the first point of contact for the entire organization. This requires a candidate with a positive attitude and who is able to conduct themselves in a professional manner. This position will multi-task a variety of front and back end office activities.
Tasks and Responsibilities:
Welcomes on-site guests, determines the nature of their business and announces guest(s) to appropriate Citizant personnel
Answers incoming telephone calls, determines the purpose of calls and forwards calls to appropriate personnel or department when appropriate
Schedules conference room appointments and keeps rooms neat and clean
Orders office supplies as needed
Coordinates orders with company vendors and services they provide
Answers questions about Citizant and provides callers with directions, an address or other information requested by the caller
Receives and forwards incoming faxes
Receives, sorts and distributes mail
Compiles and sends birthday and anniversary cards to Citizant staff
Coordinates HQ luncheons and events and is a member of the Cruise Director (Employee Events) committee
Assists office executives with clerical duties as assigned
Supports administrative and special project requirements as assigned
Other duties as assigned
Knowledge, Skills and Abilities:
Excellent organizational, critical-thinking and interpersonal skills
Diligent, dedicated, detail-oriented and proactive
Has comfort and experience interfacing with various levels of staff and management
Demonstrates excellent written and verbal communication skills including accurate spelling, grammar, punctuation and sentence structure
Excellent typing skills and high level of proficiency with general office PC applications (i.e. MS Word, MS Excel, MS Access, MS PowerPoint)
Able to work in a fast-paced environment
Education and Formal Training:
- High School diploma, or GED
2-3 years of experience as a corporate Receptionist in a clerical or administrative role required
Experience within the service industry preferred
Material and Equipment Used:
- Office equipment: copy machine, computer/keyboard, telephone and fax
