Salem State University Administrative Assistant I, Student Employment in United States

The primary responsibility of the administrative assistant I for the student employment office is to support the student employment program operations as well as assist in the daily office responsibilities of the human resources department.

Hours: 8:30am-5pm, M-F, Saturday and Sunday off

Lunch: 12-1pm

Salary: $804.43 weekly/$41,830.6 annually

  • Prepares and data enters student hiring and payroll information into the Human Resources/Compensation Management System (HR/CMS)

  • Creates and maintains all student positions in the Human Resources/Compensation Management System (HR/CMS)

  • Assists in the hiring of other part-time non-benefitted employees

  • Processes student employment work authorizations for hiring within the SEOnline (student employment office online) system

  • Monitors and maintains the student employment email and calendar

  • Utilizes OnBase scan and retrieve filing system to manage student employment documents

  • Utilizes the PeopleSoft student administrative software system to determine eligibility for student employment at the university

  • Works with hiring supervisors and payroll office to resolve hiring and payroll issues including changes in funding codes and incomplete hiring authorizations

  • Assists in the development of the JLD (Job Location and Development) program

  • Supervises and trains office work-study students

  • Serves as secondary back-up for the front desk

  • Completes other duties as assigned

Minimum Qualifications:

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:

  • An associate or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*

  • An Associate‚Äôs or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*

*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Licenses/Certifications Required: None

Preferred Qualifications:

  • Previous experience in higher education

  • Previous experience in human resources

  • Knowledge of HRIS systems, PeopleSoft preferred

  • Strong oral, written and interpersonal skills

  • Strong time management skills and ability to organize, prioritize and complete multiple tasks simultaneously with close attention to detail in order to meet deadlines
