This position is responsible for providing support to the Acquisitions and Dispositions Teams in the execution of their responsibilities by effectively coordinating and managing tasks and activities. Ultimate responsibility will be managing the administrative functions, establishing administrative procedures and guidelines and supporting teams.
/ JOB DUTIES: /
Perform advanced and diversified administrative support
Professionally communicate with personnel inside and outside of the Company to plan and coordinate meetings
o Lead effort in coordinating Pipeline, Investment Committee and Quarterly strategy and execution planning meetings. Act as scribe preparing and circulating pre meeting agenda’s and post meeting minutes.
Organize quarterly off-site Acquisitions/Dispositions Team meetings and semi annual Company meetings. Negotiate hotel contracts, carry out organization of materials, presentations, reservations, travel, audio visual, and all other materials and arrangements as needed, including oversight of budget. In certain instances, attend meetings and act as on-site key contact and scribe.
Assist in the drafting, dissemination and saving of legal documents in the areas of agricultural real estate transactions, acquisitions and dispositions, licensing and business filings, corporate records, real estate transactions, environmental regulatory and other issues under the guidance of the Director and both in house and outside counsel
Research, compose, edit and/or proofread various correspondence and documentation, including but not limited to Due Diligence reports, Due Diligence Summaries, IC Memo, NRIC Memo, Target Marketing materials., etc.
Prepare presentations and reports
Maintain contact databases, background research and company and individual due diligence
Coordinate marketing efforts and follow up activities
Management and organization of documents and materials from acquisitions and dispositions for efficient record keeping, including but not limited to Letters of Intent, Real Estate Purchase Agreements, Listing Agreements, Confidentiality Agreements, etc.
Organize and maintain Team calendar, budgets, files and filing system,
Reconcil Pipeline data, as coordinated with accounting
/ // REQUIRED SKILLS AND ABILITIES:
Bachelor’s Degree preferred
Strong organizational skills
Five plus years’ experience
Proficient in MS Office applications – Word, Excel, PowerPoint, Visio, Project
Proficient in Adobe and Lotus Notes
The ability to respond professionally to routine inquiries or requests for information, requiring basic understanding of work done
Excellent administrative skills
Ability to multi-task efficiently and effectively
Solid interpersonal, verbal and written communication skills with people at all levels
Ability to work independently and take the initiative when the situation warrants
A team-oriented style - assisting peers on an as-needed basis to smooth out workloads
Must be able to work under pressure, rearranging priorities as required
Understanding of the agriculture and real estate industry
Familiarity with financial and investment terms
