We are looking for a Senior Administrative Assistant/Office Coordinator with 4+ years of experience in an administrative support role. You will work directly with our Vice President, as well as our product development team, beginning immediately as a full-time employee in Seattle, WA.
Backed by senior CBRE executives, our agile, fast-paced team is focused on developing disruptive commercial real estate software applications. We push to keep our products at the leading edge and closely adhere to industry best practices.
As our platform continues to grow, we are looking to you to help create a seamless workflow across our diverse set of operations. Excellent communication skills, business operations experience, and a passion for new technologies are a must. You should be a self-driven individual able to execute in a fast-paced environment with minimal direction.
Your responsibilities will include:
Assistant to Vice President:
You will help our Vice President with the day to day organization and operations required to keep our team running smoothly. This includes arranging travel and meetings, helping with materials and presentations, responding to emails on behalf of the VP, calendar organization, and acting as a proxy on behalf of the VP for various internal processes.
General Team Logistics:
Helping our Developer Advocate organize and coordinate team events such as hackathons, meetups, conferences, general gatherings, and team building exercises.
Assisting our Vice President with various budgeting exercises, including day to day expense management, invoicing, and general budget tracking.
Executing the logistical components of recruiting, hiring, on-boarding, and retention for technical and non-technical positions. As the job market evolves, you will also help maintain/update our job family/salary structure documentation. In addition, you will help our vice president with various performance evaluations and compensation reviews.
Managing office logistics, including keeping supplies ordered and the office in a neat and working condition.
Includes helping the team with expense reports and supply management
We function like a startup, which means we do what is needed to get the job done. We all roll up our sleeves to help out. As such, there may be new responsibilities that pop up at any given time.
High school diploma or general education degree (GED) required.
Associate's degree (AA) or equivalent from two-year college or technical school preferred. Minimum of four years of related experience and/or training.
Must have an excitement for technology
Proven cross-functional people skills with a diverse set of teams (engineering, marketing, customers, leadership, designers, etc.)
Detail-oriented and obsessed with producing thorough process documentation
Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint)
Extremely comfort with picking up modern technologies and applications with no prior experience
Bonus points for experience in these areas:
