Work Schedule: Monday – Friday: 8:00am – 5:00pm

A Trust Administrative Assistant for Jefferson Bankwill perform daily administrative and office support activities for the Trust Department and Trust Officers.

As a Trust Administrative Assistant you will contribute to the overall success of the Trust Department by:

  • Preparing the monthly Trust Committee notebook; to include in part, distribution of account review list to Trust Officers, creation of agenda, assembling account (Administrative, Investment and Asset) reviews, minutes from sub-Committee meetings, department financials, outstanding CIP, and BSA documentation
  • Preparing and digitizing weekly Trust Administrative Committee minutes
  • Creating and distributing weekly and monthly Trust meeting email notices
  • Answering all telephone calls, handling all overnight shipping and courier needs
  • Ordering all office supplies
  • Assisting Trust Officers with the preparation of discretionary distributions, payment of client expenses, correspondence, and routine customer inquiries
  • Preparing expense reports for Trust Officers as needed

MINIMUM QUALIFICATIONS*:*

*TO BE CONSIDERED ALL APPLICANTS MUST CURRENTLY RESIDE IN THE SAN ANTONIO, TX AREA*

  • 1-2 years experience in administrative support role
  • Commissioned Texas Notary or ability to obtain within 60-days of employment
  • Excellent oral and written skills
  • Must have excellent computer skills
  • Must be highly organized and able to prioritize and complete multiple tasks

PREFERRED QUALIFICATIONS:

  • Commissioned Texas Notary

Education/Skills/Experience

  • Some college required

Equipment/Machines/Software

  • Personal computer with proficiency using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Must be able to use telephone, 10 key adding machine/calculator, copier, scanner and fax machine

Competency Requirements

  • Proven organizational skills with ability to shift priorities and follow assigned tasks through completion
  • Ability to work independently with minimal supervision
  • Must have high attention to detail with ability to focus on assigned tasks
  • Must be accustomed to a fast-paced office environment

Physical Requirements

  • Must be able to lift, push and pull files up to 15 pounds for storage
  • Must be able to bend, stoop, and be mobile within office environment
  • Must be able to sit for most of the day in front of a computer
  • Must be able to speak and hear customers
  • Must be able to see computer screen to read and type on the keyboard
  • Must be able to be mobile in an office environment
  • Must be able to bend and stoop to floor level filing cabinet drawers
