BARR ENGINEERING Administrative Assistant-Receptionist in SALT LAKE CITY, Utah
Summary Barr Engineering Co. is seeking an Administrative Assistant-Receptionist to be the first point of contact for clients and vendors in our Salt Lake City office. The person in this position will also provide administrative support to Barr's project teams, project managers, and office staff. The tasks will include front-desk communication such as answering phones, relaying messages, and greeting visitors. Additional tasks include mailroom activities such as faxing, copying, and sending documents; receiving bulk packages; assisting with office equipment use and maintenance; tracking and ordering office supplies; document printing and binding; processing invoices and credit card statements; maintaining food and beverage supplies; providing logistical support for meetings and conference calls, including WebEx and in-office catering; interacting with building property manager on space related issues; responsible for maintenance of office equipment; and cleanup and stocking of conference rooms and kitchen areas and general office tidying and organization. Specific project support tasks may include running reports from and inputting data into information-management software; maintaining and organizing project files; providing quality assurance-quality control for project documents; coordinating production and delivery of major work products; creation of PDF files; developing visual presentation materials; and other duties as necessary for the completion of projects. Minimum Qualifications One year of experience in a receptionist role or similar administrative position Proficiency with the Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat Ability to manage multiple tasks and prioritize simultaneous requests from team members Ability to work with partial information, identify further data necessary to effectively complete tasks, and either prepare preliminary but incomplete work products or work with individuals to collect necessary data for preparation of complete work products Demonstrated attention to detail, task follow-through, and skills development Exceptional organizational skills An attitude and desire to help project teams be successful Self-directed with the ability to complete tasks with varying levels of oversight Ability to work effectively with a variety of personalities and build working relationships Strong interpersonal, verbal and written communication skills, and a commitment to providing high quality service Ability to occasionally lift 40-lb. boxes and rearrange conference rooms to accommodate meeting needs A flexible working style and willingness to modify personal schedule as required to meet project deadlines and-or client needs Demonstrated professionalism with regard to attire and demeanor Legal authorization to work in the United States without the need for sponsorship Acceptable driving record Preferred Qualifications Five years of experience in a comparable position Associates degree or college level coursework in sciences-engineering Experience preparing visual presentation materials Barr Engineering Co. reserves the right to consider other legitimate, non-discriminatory factors that are not specifically listed.
