PURPOSE AND SCOPE:

Supports FMCNA's mission, vision, core values and customer service philosophy, Adheres to the FMCNA Compliance Program, including following all regulatory and division/company policy requirements

Under general supervision, provides a broad range of secretarial and administrative support that may include details of a confidential nature for the Director of Project Management, FDMS Staff, and Real Estate Group Prioritizes multiple tasks in a fast-paced working environment, and utilizes well-developed organizational and communication skills with both internal and external contacts.

DUTIES/ACTIVITIES:

CUSTOMER SERVICE:

  • Responsible for driving the FMCNA culture through values and customer service standards.

  • Accountable for outstanding customer service to all external and internal customers.

  • Develops and maintains effective relationships through effective and timely communication.

  • Takes initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner.

PRIN C IPAL RESPONSIBILITIES AND DUTIES:

Under general supervision, provides a broad range of secretarial & administrative support that may include details of a confidential nature.

  • Assembles & analyzes information for use in the preparation of report, manuals and presentations.

  • Receives & responds to routine correspondence following established procedures not requiring management review

  • Schedules appointments, makes travel arrangements, processes related expense reports, coordinates meetings. ,

  • Screens mail & telephone calls, directs requests to the appropriate individuals & follows up on replies

  • Interfaces with a variety of people on issues both routine & complex

  • Utilizes the PC and related software programs to accomplish assignments.

  • Performs administrative support and secretarial functions which may include but are not limited to:

  • Prioritizes telephone calls to ensure those of the highest priority are addressed in a timely fashion.

  • Maintains a positive, professional and efficient communication process with all internal and external contacts.

  • Opens and sorts mail May compose routine correspondence on behalf of the Director of Project Management.

  • Maintains filing system within the department .

  • Assists in coordinating department functions such as ordering of supplies and preparing architect and other vendor vouchers.

  • Assists the FDMS Project Coordinator in updating and maintaining Project Management databases by inputting data and verifying accuracy of data

  • Enters data from Project Questionnaires and other sources into Database; maintains integrity of data

  • Maintains list of addresses for consultants, vendors and new and relocated facilities Conduct audits and follow up with new and relocated facilities to ensure accuracy of information

  • Copies and distributes Project Questionnaire packages and leases to vendors and field personnel

  • Performs GSA and OIG vendor checks, and create new vendor profiles with contact information and taxpayer identification numbers.

  • Other duties as assigned.

EDUCATION

High School Diploma -some specialized secretarial training preferred

EXPERIENCE AND REQUIRED SKILLS

  • 2 to 5 years experience in the field.

  • Knowledge of business & technical vocabulary

  • Familiar with concepts, practices & procedures within real estate field.

  • Able to employ basic reasoning skills

  • Knowledge of computer software such as word processing, spreadsheet, presentation, database programs.

  • Knowledge organizational operations & procedures.
