Kforce has a client that is searching for an Executive Administrative Assistant in Providence, Rhode Island (RI).Essential Functions:

  • Manage calendar, schedules and organizes complex activities such as meetings, travel, conferences and department activities for the CEO

  • Email Triage - Reviews cc: emails and deletes or moves important ones to Inbox

  • Anticipates and responds to needs of the CEO

  • Proactively identifies challenges and solicits assistance for resolution

  • Maintain up-to-date and accessible electronic (Outlook) contacts database; scan business cards and categorize them

  • Prepare CEO Expense Reports

Office Marketing Manager:

  • Performs desktop publishing; creates and develops visual presentations

  • Organizing email blasts to include quarterly dashboard and conference takeaways; Blast go to 7500 contacts

  • General Marketing Efforts

  • Manage CEO and company social media presence (Facebook, Twitter, etc.)

  • Monitor and maintain company website so all information is accurate and timely

  • Make sure employee bios and photos are current

  • Monitor and maintain PostScript website so all information is accurate and timely

  • Actively manages Outlook

  • Actively collecting relevant industry contacts information

  • Create and maintain PowerPoint presentations as required

  • Create and maintain PowerPoint library

  • Maintain and monitor a list of all assignments

  • Plan meetings for industry conferences

Organize Company's Bi-Annual retreat:

  • Prepare agenda

  • Manage invites/attendees

  • Manage hotel accommodations for attendees

  • Create and adhere to Budget

  • Assist with employee travel

  • Plan itinerary and make arrangements

  • CEO presentation preparations

  • Plan and manage guest speakers

  • Satisfaction Survey - Create and Disseminate

Establishes, develops, maintains and updates filing system for the Office of the CEO:

  • Retrieves information from files when needed

  • Minimum of a Bachelor's degree from Accredited Institution

  • Significant (5 ) years of experience as an executive assistant supporting a senior executive, preferably in a sales and marketing capacity

  • Results focused with demonstrated competence to assess priorities, manage a variety of priorities in a time-sensitive and fast-paced environment

  • Ability to meet deadlines

  • Meticulous attention to details and quality

  • Excellent organizational and inter-personal skills

  • Excellent computer skills with a high degree of fluency in MS Office Suite applications, particularly Outlook, PowerPoint, Publisher, Photoshop, Word, and Excel, as well as Internet search engines

  • Able to interact professionally with and create confidence amongst existing and prospective clients, and associates

  • Discretion in dealing with confidential and sensitive matters

  • Good judgment, flexibility and patience; level head

  • Strong ability to communicate clearly and concisely both verbally and in writing; excellent writing skills

  • A self-starter with assertiveness (yet tactfulness) who can work independently when executive is traveling

  • Dynamic and proactive with a strong sense of initiative

  • Creative and resourceful

  • An interest in the hotel business helpful

  • Strong ethical standards

  • Team player, dealing effectively with co-workers

  • Strong work ethics; flexibility to work additional hours, including flexibility to work last minute over-time hours, if needed which is reciprocated with flexibility to manage personal life demands
