Role Summary:

This role will provides a full range of administrative support for an executive-level Digital Technology Leader as well as support the Providence Core Technology site. The ability to prioritize the needs of a multiple people is a critical success factor for this role.

Essential Responsibilities:

  • Arrange standard and complex travel (e.g., flights, hotels, ground transportation, upgrades, visa/passports), and process/reconcile corporate card and cash expenses

  • Coordination of calendars, which are comprised of heavy meeting schedules, complicated by multi-time zones, offshore offices, and travel schedules

  • Handle general office and administrative tasks, including the ordering of supplies, telephone coverage, mail and fax processing and distribution, photocopying

  • Coordinate onsite, offsite business and virtual meeting and events, including hotel/conference room reservations, transportation, coordinating meeting requests and responses, creating agendas, preparing and distributing materials, coordinating audio/visual/Telepresence needs, ordering food, etc.

  • Create and edit Word, Excel, and PowerPoint documents with high attention to detail

  • Point of contact for site visitors (e.g. suppliers, customers, etc.) including logistics coordination and escorting visitors to the appropriate meeting location

  • Manage and regularly update organization-wide distribution lists, organization charts and membership to collaboration forums such as Yammer

  • Assist with new employee set-up and exit processes as needed, including space need requests, badge requests/collection, etc

  • Establish and maintain strong communication links across the business and function, understanding the organization and its leaders.

  • Provide discrete and confidential coordination of sensitive company information. Use discretion in interfacing with all levels of individuals, internally and externally.

  • Proactively support the assigned leaders and teams by independently handling all assigned responsibilities, taking direction from and balancing the needs of multiple staff members

  • Perform special projects/tasks as requested Qualifications/Requirements: Basic Qualifications

  • High School Diploma or GED with 7+ years administrative assistant experience or Bachelor’s Degree with 5+ years administrative assistant experience at the executive level in a corporate environment

  • 3+ years’ experience supporting multiple stakeholders

  • 3+ years’ experience supporting executive level leaders

  • 3+ years experience with a high level of proficiency in creating, running and troubleshooting virtual meetings utilizing telepresence, webex and other collaboration tools Eligibility Requirements

  • Strong computer skills with proficiency in all Microsoft Office applications including Outlook, PowerPoint, Excel and Word.

  • Experience with the Digital Technology organization and knowledge of key stakeholders

  • Bachelor degree in English, Business Administration, or other related subject

  • Familiarity with GE business operating rhythm and processes

  • Strong organizational skills and exceptional attention to detail and accuracy

  • Ability to prioritize, anticipate needs and solve problems

  • Highly motivated, confident and resourceful

  • Must have the ability to work accurately, with minimal supervision, under deadline situations in a fast-paced environment, responding to multiple stakeholders

  • Ability to maintain confidentiality of highly sensitive information.

  • Ability to deal with ambiguity and handle stressful and difficult situations with composure.

  • Fluent in use of GE online applications and systems including Webex, Yammer, GETRes, Concur, and SSEbuy

  • Experience interfacing with senior management and high profile external contacts.

  • Strong verbal and written communication skills and ability to draft clear and concise communications

  • Positive and professional approach, good judgment

  • Excellent telephone interaction

  • Ability to maintain high level of integrity and confidentiality.
