Randstad, one of the largest staffing firms Internationally for Office and Administrative Support roles, is looking for a temp to hire a Customer Service Administrative Assistant for a client of ours in the Pleasanton, CA area!

Daily Duties

  • Answer & screen phone calls

  • Intake and dispatch emergency service calls (National and local accounts) using ServiceMax software to internal field technicians and subcontractors

  • Build rapport with internal customers and primary external customers

  • Use ServiceMax software to process new repair jobs, dispatch work orders and coordinate with Material Control Administrator to order materials for such jobs

  • Receive and post inspection reports

  • Receive and code material and subcontractor invoices

  • Various housekeeping as needed

  • Provide service reports and invoices to customers upon request

  • Query & provide monitoring reports for customers

  • Set up customer access to NetReport (proprietary reporting software)

  • Backup admin duties as needed

o Scanning & saving documents

o Unpacking materials and check against packing slips

o Stocking light inventory materials

Must possess the following administrative skills/characteristics:

  • Type 45+ WPM (must provide certificate within the last 3 months)

  • Excellent verbal and written communication skills

  • Excellent customer service acumen

  • Ability to multi-task with moderate call volume and emails

  • Highly organized

  • Experience with dispatching environment a plus

  • Ability to work with multiple & varying deadlines and stay calm under pressure

  • Must be willing to fill in and assist other members of the administrative team - must have team mentality

  • Ability to get along with various personalities from sales team to field technicians

Working hours: Monday-Friday 8:00am-5:00pm

  • High school diploma or equivalent

  • 1+ years experience in field or related area

  • MS Office Suite
