Under general supervision, provides complex and diversified administrative support for the leadership and staff of the Moly Marketing and Sales Organization.

  • Administers and audits sales contract status and select sales transactions in SAP

  • Prepares and submits sales contract quarterly reports to financial organization (Credit Trigger and Assignment, Variable Interest, Sales Revenue Recognition Reports)

  • Prepares information for sales internal and external audits

  • Coordinates the annual calendar and daily operation of the molybdenum commercial unit

  • Plans events and meeting arrangements and logistics, prepares meeting agendas, may transcribe and distribute minutes of committees, commissions and meetings

  • Performs complex, diversified and specialized secretarial/administrative work for site leadership or functional unit staff

  • Manages promotional item inventory, orders and distributes promotional items

  • Coordinates or prepares a wide variety of complex financial and operational reports

  • Prepares memoranda, communications to customers, and letters

  • Creates and maintains computer forms, templates and tables that facilitates sales and order to cash business process

  • Audits transactions

  • Compiles statistical data

  • Reviews and recommends new or enhanced operating procedures in the areas above

  • Sets up and maintains complex electronic and paper filing systems within retention policy

  • Reviews retention policy and recommends updates

  • Coordinates collection and presentation of budget data

  • May serve as Notary Public

  • Performs other duties as requested

Minimum Qualifications

  • Three (3) years of Administrative/Secretarial experienceincludingContract Administration experience

  • Excellent communications skills, oral and written, to all levels of management

  • Proficient in the use of the MS Office package, and competent with a spectrum of Information Technology systems and platforms


  • High School diploma or GED

  • Associates degree (two (2) years of College) preferred with Math or Accounting courses

  • Paralegal experience a plus

  • Advanced knowledge of Microsoft Office, especially Word, PowerPoint, Excel and SharePoint and SAP Order to Cash


  • Ability to understand and apply verbal and written work and safety-related instructions and procedures given in English

  • Ability to communicate in English with respect to job assignments, job procedures, and applicable safety standards

  • Must be able to work in a potentially stressful environment

  • Position is in busy, non-smoking office

  • Location requires mobility in an office environment

  • Occasionally work may be performed in a mine, outdoor or manufacturing plant setting, which may include exposure to extremes in temperature and humidity, moving mechanical parts, risk of electrical shock, toxic chemicals, explosives, fumes or airborne particles

  • Must be able to frequently sit, stand and walk

  • Must be able to frequently lift and carry up to ten (10) pounds

  • Personal protective equipment is required when performing work in a mine, outdoor, manufacturing or plant environment, including hard hat, hearing protection, safety glasses, safety footwear, and as needed, respirator, rubber steel-toe boots, protective clothing, gloves and any other protective equipment as required
