The Administrative Assistant is responsible for providing administrative support for the Compliance Group, including managing schedules and travel arrangements and providing administrative support for meetings, presentations and projects. This position reports to the Senior Vice President and Chief Compliance Officer.

Responsibilities include, but not limited to:

  • Coordination of meetings and calendars.

  • Coordination of international and domestic travel arrangements within company guidelines.

  • Maintenance of department files, lists, archives, etc.

  • Coordination of phone calls — both incoming and outgoing.

  • Interaction with senior and executive management.

  • Assist in the creation and review of excel spreadsheets, Word documents and presentation materials, including PowerPoint presentations.

  • Responsible for assisting Corporate Legal department in meeting its goals.

  • Responsible for ensuring timely response to departmental inquiries.

  • Responsible for processing travel & expense reports.

  • Responsible for preparing and submitting certain monthly and quarterly reports, including departmental budget reports.

  • General administrative functions (ordering supplies, processing monthly accruals, coordinating events, etc.).

  • Other projects as needed.

Qualifications

  • Minimum of 5 years’ administrative experience in a corporate and/or legal setting

  • Professional and articulate phone manner

  • Ability to problem solve, use discretion and maintain confidentiality

  • Collaborative, team player

  • Excellent verbal and written communication skills

  • Excellent organizational and time management skills

  • Self-starter with a professional, friendly demeanor

  • Ability to work in a fast-paced, deadline-driven environment

  • Strong PC skills (MS Word, Excel, PowerPoint, SharePoint and other business systems)
