Nutanix Office Manager / Administrative Assistant Sales- South-Europe in Paris, France

Nutanix, Inc., has an immediate need for a talented Office Manager / Administrative Assistant III to provide administrative support to our Sr. Sales Director South-EUrope, his direct reports and various levels of professionals within the Sales Organization as well as take care of office management responsibilities for our South-European offices.

Must be competent in performing tasks with minimal direction and willingness to handle a wide variety of situations, as well as competing priorities in a timely and efficient manner with a great attitude and sense of humor. Assignments are routine and non-routine and require originality, ingenuity and ability to handle multiple projects at one time. Candidate must have outstanding time management and organizational skills, relying on expertise and sound judgment to plan and accomplish goals. Must be able to exercise discretion, independent judgment and capable of analyzing and solving complex and abstract requests.

This position is expected to involve a high degree of confidentiality, creativity, latitude, flexibility and availability for effective and efficient performance for support required.

Duties & Responsibilities:

  • Provide general and routine to complex administrative support with keen ability to foresee the needs of the executive and organization to optimize time .

  • Manage calendars and schedule appointments, meetings, travel, and organizational functions, as well prepare flawless communication materials on behalf of internal and external customers.

  • Coordinate, prepare and finalize executive materials and key executive meetings.

  • Perform desktop publishing, slide presentations, publications and executive/board level reports.

  • Use political savvy and sophistication to filter through and facilitate actionable items.

  • Key liaison for the organization and on-the-job contacts including internal and external customers, partners, Board of Directors, internal company executives, parent company executives, trade associations, community and political representatives.

  • Anticipate and/or identify needs and issues within the organization and proactively initiate and/or facilitate thoughtful solutions.

  • Demonstrates broad company knowledge which includes corporate policies and procedures, organizational structure, business strategies, corporate goals, products, services, customers and competitors.

  • Provide administrative support and cross-coverage to manager, executive assistant and administration staff, as necessary.

  • Play an active role in creating a safe and healthy workplace and comply with all applicable safety and health rules.

  • Other duties as assigned and/or required

Minimum Qualifications :

  • BS or BA with 5+ years of progressive experience, supporting Senior/Executive Management or equivalent experience and at least 4 years experience working in faced-paced start-up environment supporting a large organization.

  • Exceptional verbal and written communication skills.

  • High level of integrity with a humble nature; fully capable to take initiative, manage and oversee various projects from management and multiple levels of professionals.

  • Proven analytical and agile problem-solving skills.

  • Must have exceptional calendar management skills

  • Advanced level MS Office suite (Word, Excel, PowerPoint, Outlook, Project, Google Drive).

  • Familiarity with legal contracts including patent filings, NDAs, vendor agreements, and foreign filings.

  • Must be highly detailed oriented, self-motivated, adaptive, creative, and flexible with time and schedule; able and available to come to work early and/or stay late with minimal advance notice

Additional Preferred Skills:

  • Experience assisting large Sales organization within a fast-paced start-up business environment.

  • Demonstrates a broad company knowledge which includes learning and understanding corporate policies and procedures, organizational structure.

  • Ability to multi-task and prioritize tasks and assignments to meet deadlines.

  • Ability to take initiative with various projects from multiple management and professional levels, Strong work ethics, integrity and confidentiality.

  • Ability to be key in relating information to employees and guests.

  • Must be reliable and work independently.

  • Must maintain excellent attendance.

  • Must be willing to lift 40 pounds unassisted.
