Job Title: Administrative Assistant Job Description

This position is one that will provide administrative assistance to various functions within the American Economic Association (AEA). The primary role of this position will be to support the Job Openings for Economists (JOE) Network Coordinator to alleviate the heavy workload during peak season. This position will also provide support to the other functions and activities of the AEA as needed throughout the year. This position requires an individual that is motivated, organized and flexible with the ability to multi-task.

The responsibilities of this position include, but are not limited to the following:

JOE Network

Review, edit, and approve listings of JOE advertised on the AEA website by communicating with intercollegiate staff and employers worldwide and assisting in the creation, edits, and publishing of their job opening listing.

Manages the daily operations of correspondence via email, phone and mail.

Works with the Pittsburgh AEA office in handling JOE related issues.

Coordinates with assistant website manager to execute daily listings as the updated JOE Network evolves.

Continuously reviewing and providing improvements to the JOE process to reduce costs while maintaining a user friendly product.

Assist job applicants and employers through the job interview signaling and the job market scramble programs facilitated by the AEA.

Ensures that the language in all job listings is in compliance with relevant U.S. laws, orders, and regulations concerning equal opportunity and affirmative action.

Processing payments for ancillary charges on JOE.

Reviews and processes any reference letter writer requests.

Administrative Support

Assists in the daily operations and support of the entire AEA staff.

Customer service representative for AEA members by providing support in renewals, logins, payments and in any membership service provided.

Handles and processes phone calls, emails, and mail.

Creates and maintains spreadsheets for administrative projects

Preferred Education, Skills, and Experiences:

Bachelor's degree and 3 year of experience or the equivalent.

Meticulous attention to detail and organization.

Capacity to work independently, initiating and seeking tasks with minimal supervision.

Aptitude to prioritize work, multi-task, and meet deadlines in a team-centered, time-constrained environment.

Strong knowledge of MS Word, Excel, and possibly Power Point.

Key Functions and Expected Performances:

Prepare materials for publication in accordance with set deadlines.

Review and edit material to conform to publication style.

Proofread material accurately

Verify material for accuracy, as appropriate.

Update information to be published, as appropriate.

Preferred Education, Skills, and Experiences:

Bachelors Degree

Work Schedule:

Monday- Friday, 8:30am-4pm. 35 hours a week.

Some weekends and evenings may be required based upon the workload.

Job requires High school graduate or GED and 4 years of experience or the equivalent.
