Position General Responsibilities:

This position is responsible for general administrative assistant support to the Chief Financial and Chief Accounting Officers of Stockman Bank. Responsibilities include typing, filing, and other clerical functions. This position also involves out of bank errands and deliveries. In addition, this position will be responsible for completing special projects as assigned.

Education, Experience and Certification Requirements

Basic Qualifications:

  • 2-year college level course of study in Business Administration or equivalent financial institution/related field experience.

  • Strong commitment to providing exceptional customer service.

  • Strong communication and organizational skills.

  • Must be able to work independently and to prioritize multiple tasks.

  • Must be able to effectively maintain confidential bank and customer information.

  • Proficient computer and typing skills.

Preferred:

  • Proficient skills working with Microsoft Outlook, Word, and Excel.

Dimension of Job:

Administrative support person to the Chief Financial and Chief Accounting Officers, with ancillary support to the Company as a whole. Involved in preparing various administrative and Board information for the Accounting Department and other central departments as needed.

Position Specific Responsibilities, Duties and Competencies

Administrative Support Functions:

  • Typing correspondence, memos, and other documents and instruments as needed, including daily work and special projects.

  • Maintain filing of documents for the Accounting Department as assigned.

  • Assist in maintaining various internal forms, policies, procedures, etc.

  • Photocopy, scan, fax, and distribute documents as needed.

  • Assemble manuals and materials for meetings, etc.

  • Schedule appointments, meetings, and travel accommodations.

  • Answer phones, field questions and/or take messages as necessary.

  • Assist with the supplies and requisition system.

  • Assist in the building/facilities QC process and support.

  • Assist in the vendor management process and support.

  • Assist in the Bank’s insurance management process.

  • Order and maintain office supplies and promotional supplies.

  • Other miscellaneous support as deemed necessary.

Public Relations:

  • Promote the improvement of Stockman Bank and its affiliate companies through quality customer service, promotion of products, professionalism in conduct and diligent work ethic.

  • Greet all customers pleasantly and make them feel welcome and comfortable.

  • Effectively handle customer questions and problems.

  • Use effective listening and observing skills to help identify and resolve customer needs.

  • Spot sale opportunities and refer business consistently

  • Cross-sell other services whenever the opportunity arises.

  • Keep up to date on pricing and products.

  • Relay customer comments and/or complaints as appropriate.
