Job Description

Job Responsibilities:

  • Composes correspondence according to standard formats, frequently of a technical, legal, and /or confidential nature.
  • Maintains confidential employee files. This includes handling all new employee set-up packages, employee transactions/tracking, typing and filing employee reviews.
  • Coordinates calendar and travel reservations for supervisor and others in the department.
  • Prepares spreadsheets, tables, reports, and presentations for supervisor and others in the department.
  • Reviews employee time cards and works with contractor manager and temporary employees for pay validation.
  • Verifies vacation, holiday and overtime pays against schedules and work hours.
  • Coordinates training schedule for supervisor and others in the department.
  • Reviews all expense reports for department prior to supervisor's approval.
  • Coordinates various meeting schedules that include internal personnel as well as customers.
  • Gathers weekly and monthly reports from supervisor's direct reports.
  • Provides direction to temporary and clerical workers in the department.
  • Establishes new procedures for corporate files and records in accordance with corporate requirements.
  • Plans and carries out assigned administrative projects that require knowledge of the department and company policies.
  • Prepares proposal schedules
  • Provides extra work order reporting and analysis
  • Supports claims analysis
  • Assists with project close out requirements
  • Support Senior Project Controls staff with maintenance and analysis of project cost/schedule
  • Assist with material take off from drawings
  • Maintain and assist with progress reporting and analysis
  • Maintains Field Schedule and provides contractor schedule analysis
  • Assist with field expediting requirements
  • Composes correspondence according to standard formats, frequently of a technical, legal, and /or confidential nature.

Required Qualifications:

  • High School Diploma or equivalent
  • Excellent written and verbal communication skillsExcellent organizational skillsAbility to prioritize own work and effectively meet deadlines
  • Ability to communicate effectively with all levels of management
  • High level of skill, working heavily with: Microsoft Word, Excel, PowerPoint
  • Ability to work independently and make sound decisions with general instructions/requests
  • Working Knowledge of Microsoft Access
  • Excellent written and verbal communication skills
  • Excellent organizational skills
