CMHQ- ADMINISTRATIVE ASSISTANTDescription/Job SummaryUnder the direct supervision of the head of the Division this position provides administrative and clerical support for the senior management team and department. In addition to typing, filing and scheduling, performs duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.Main Job Responsibilties:Make detailed relief with operator reporting off shift to ensure knowledge of current operation Provides routine assistant/administrative duties of typing letters and memos, answering phones for the Vice President and other Division personnel, to backing up the Division Customer Service personnel and performing special projects as needed.Makes travel arrangements for the Vice President and for the Division employees. Prepares trip requisitions. Registers Division members for conferences and meetings along with securing appropriate housing accommodations. Handles arrangements for customer outings.Files and maintains pertinent information for the contract files and division files and maintains Customer Mailing List for regular communications to customers by the Vice President.Internal meeting preparation--informing attendees about upcoming meetings, issuing reminders for materials and packages preparing materials, and setting up conference rooms.Other duties as assigned by supervisor.Minimum requirements:High School graduate or equivalent1+ years of previous administrative assistant or administrative support experience in an office environmentMicrosoft Office Suite; Microsoft Word, Microsoft Excel, Microsoft Power point and Microsoft Outlook; Strong intermediate to advanced Microsoft Excel skills requiredMust have regular, reliable attendance as well as the ability to work outside the regular schedule as requiredMust demonstrate exceptional teamwork and customer service; behave professionally; treat others with respect and dignityMust have good oral and written communication skillsCommand of English verbally, in comprehension skills, and, in the ability to create reportPrior experience with AS/400's Query Function is a plusIf you need a reasonable accommodation for any part of the employment process, please contact us by email at firstname.lastname@example.org and let us know the nature of your request and your contact information.
