We are seeking a Part Time Administrative Assistant. The Administrative Assistant will provide administrative support to a department and/or manager. Duties include general clerical, receptionist, and project-based work. Present a professional company image through in-person and telephone communication.

Part Time Monday-Friday 12:00pm - 5:00pm.

  • Answer telephones and transfer to appropriate staff.

  • Interact with clients, vendors and visitors.

  • Create and modify documents using Microsoft Office and/or other software.

  • Assist in general administrative tasks such as faxing, scanning, copying, filing, organizing, mailing, document development, etc.

  • Prepare, edit, copy and distribute project reports under direction of department personnel.

  • Maintain confidentiality in all aspects of client, staff and company information.

  • Set up and coordinate meetings, trainings and conferences.

  • Organize large amounts of information into a consistent, meaningful format.

  • Prioritize tasks with little supervision.

  • Maintain calendar to coordinate work flow and meetings.

  • Support staff in assigned project-based work.

  • Work in a fast paced environment.

  • Open, sort and distribute incoming correspondence, including faxes and e-mail.

  • Receive, sign for, process and distribute UPS/FedEx mail and courier packages.

  • Perform other duties as assigned by supervisor.

  • Provide office orientation for new administrative employees.

  • Arrange for accommodation and entertainment of company visitors.

  • Prepare responses to correspondence containing routine inquires.

  • Serve as back up for Receptionist at front desk when she is not available.

  • Perform other duties as assigned by supervisor.

  • Basic reading, writing and arithmetic skills.

  • Knowledge of Microsoft Office, Microsoft Outlook and telephone etiquette.

  • Professional verbal and written communication skills.

  • Moderate typing skills.

  • High school diploma.

  • Minimum of 2 years office experience preferred.
