JOB SUMMARYProvides administrative services in support of Market Manager(s) and Market(s), ensuring timely and accurate completion of all duties. Uses attention to detail to audit all information required to complete order and shipping process.ESSENTIAL DUTIESMonitor and print emails for new or altered orders, book outgoing shipments with freight forwarder and logistics and keep Market Manager abreast of changes.Create and maintain complex filing system, ensuring next day warehouse and sales folders are up to date; submits information to warehouse for selecting and shipping.Order freesales and certificates for documentation for folders and files; prepare health analysis.Ensure all bookings are complete in system and create master bill of lading.Confirm orders with sales and coordinate all approvals needed to move an order to live statusComplete site draft to secure payment from applicable international bank. Re-order blank template forms as necessary.Communicate via telephone and email with freight forwarder. Document steps taken.Proof bookings.Complete SED files after containers ship, revising as necessary to meet government requirements.Update master checklist upon completion of each task; utilize spreadsheet to determine what follow up is necessary and see all missing information through to completion.Create a copy of all documents for file once all required documentation has been completed and scan into system.Track drafts and credits to ensure customer receives credit due and credit is not applied more than once.Escalate customer issues to Market Manager as appropriate.Enter daily items requiring labels and schedule on shared calendar.Develop and update forms, documents, and templates to create consistent tracking and communication tools.MARGINAL DUTIESOther duties and projects as assigned.JOB SPECIFICATIONSEDUCATION and EXPERIENCEHigh school diploma plus 1 year of administrative support experience in a professional office environment.PHYSICAL DEMANDSWork is primarily sedentary in nature. Approximately 2/3 of the day involves data entry on the PC. Must be able to communicate clearly with suppliers, customers, sales team and operations. Must be able to deal with high-pressure, time-sensitive situations.MENTAL/VISUAL DEMANDSMust be able to read at distances close to the eyes, with or without correction.WORKING CONDITIONSMost of the day is spent in a comfortable office environment.
