Job Summary:

The Administrative Assistant provides administrative support to the management of the various departments or the department itself. This position reports to the department manager.

Summary of Duties:

  • Quality:

  • Maintenance of recordings including, checking, retrieval and storage.

  • Scanning of records onto network.

  • Technical Publications:

  • Reproducing, preparing, and shipping manuals or reports.

  • Engineering:

  • Maintain time sheets, vacations, ATPs, etc.

  • Maintenance of drawing lists, project milestone charts (as required).

  • Prepare, update and distribute engineering meetings minutes (internal, kick-off, PDR, CDR, customer, etc.) per engineering manual.

  • Planning:

  • Print sort and distribution of production kit lists.

  • Purchasing:

  • Maintain files of purchase order transactions.

  • Enter Purchase orders onto Royal IV (MRP System).

  • Other Departments

  • Assisting in coordination and scheduling.

  • Managing mail (sorting and distributing).

  • Preparing letters, reports, forms, schedules, and other materials.

  • Creating, preparing, or editing presentations.

  • Create visual reports (i.e. department performance).

  • Create department organization chart.

  • Coordinating and making travel arrangements.

  • Coordinating meetings or events.

  • Lower level customer support.

  • Prepare, submit, and manage proposals.

  • Ability to use office machines (equipment).

  • Transmit or ship data to other facilities or customers via freighter or electronically.

  • General Notes:

  • Qualifications: Education: High School Diploma or equivalent, in addition Secretarial/Clerk Diploma preferred.Experience: 0-1 years.Computer Skill: Familiar with Windows Operating System®, Office XP®., and with MRP systems (Royal IV) ), or ability to learn MRP system.Other Skills: Good: attention to detail, organization, personal management and oral and written communication skills. Ability to handle multiple tasks at once is necessary. Type 50 words per minute preferred. Ability to read engineering blue prints is preferred.Description: Entry level.
