Robert Half Office Team Temp to Hire Administrative Assistant in Dallas, Texas

A growing electrical engineering company is seeking a dedicated Administrative Assistant with thick skin to support their Project Management team.

  • Meets regularly with the Project Managers and Accounting staff to understand the specific needs of each job and determine where assistance is needed.

  • Setting up an appropriate electronic and main file per standard operating procedure.

  • Timely entering of subcontracts, purchase orders, change orders and project communications through the project management software, ensuring accuracy, track for return and proper execution.

  • Enter and print transmittals through the project management software.

  • Proofread, distribute and file all Project Manager correspondence, including but not limited to, owner AIA contracts, subcontractor contracts, purchase orders, payment applications, change orders, proposal letters, meeting minutes, punch lists and transmittals.

  • Create drawing logs from construction drawings.

  • Create draft Change Orders in the project management software for Project Manager Approval. Log and track Change Order Requests

  • Provide information via hard copy or electronic, per procedure, to Accounting staff as follows:

  • Owner Contracts

  • Owner Change Orders, including Change Proposals.

  • Subcontracts and Sub Change Orders, including all backup.

  • Purchase Orders, including Revised Purchase Orders and all backup.

  • Subcontracts and Purchase Orders that are returned with changes

  • Coordinate with all team members to create close out documents per standard procedures.

  • Add business card contacts into the project management software Contacts.

  • Update/enter job information in the project management software as directed by the Project Manager

  • Maintain open and frequent communication with the Project Manager to ensure priorities are set and expectations are clear.
