Position Summary/Purpose of Position
The University System of Maryland Office (USMO) invites applications and nominations for the NonExempt Staff position of Executive Administrative Assistant I in the Budget Office and Institutional Research Office. The Executive Administrative Assistant I will have primary responsibility to perform the following duties:
Carrying out the administrative and operational functions of the office.
Reconciling monthly accounting sheets for VCAF operating accounts.
Provides financial analysis for Budget Office and Institutional Research Office reports; checks for accuracy, and accounting input.
Preparing monthly expenditures reports for review of Director of Budget.
Verifying payroll journals biweekly, distributing checks, ordering stock and maintaining supplies for offices of the Vice Chancellor for Administration and Finance.
Coordinating the organization, assembly and distribution of complex, critical and high visibility projects for the General Assembly, Governor and Board of Regents.
Reviewing institutional research reports and material for accuracy.
Preparing and maintaining electronic filing and hard copy correspondence and records.
Plan, organize, prioritize, schedule, and execute complicated and continuing assignments without instruction.
Providing back up support for Executive Assistants in various departments within the Division of Administration and Finance.
Interacting with all levels of management throughout the USM in a courteous and efficient manner; maintaining a high degree of confidentiality; handling sensitive matters with discretion and tact.
High School Diploma or GED.
EXPERIENCE: Four years secretarial experience.
Bachelor’s degree is preferred, but not required. At least (4) four years’ experience in an administrative support role. The ideal candidate will be organized and detail oriented and have excellent written and oral communication skills; familiarity with working in a professional office environment; expertise with Microsoft suite; the ability to work on multiple projects simultaneously; and ability to maintain confidentiality. Experience in the Kuali System is desirable.
