Robert Half Legal LEGAL ASSISTANT FOR MARKETING AND PR FIRM in Chicago, Illinois

Chicago marketing and public relations corporation is seeking a dynamic Legal Assistant to work in its in house legal department. This position is responsible for providing legal administrative, organizational and project based support for attorneys. The Legal Assistant will prepare various documents including briefs, subpoenas, spreadsheets, and other correspondence. In addition to typing, filing and scheduling, the secretary will organize and maintain all legal files (paper and electronic) and provide additional assistance such as helping with research for cases, gathering necessary documents for trials and submitting paperwork to courthouses and administrative agencies. Other duties include scheduling client appointments, answering calls, taking notes during legal meetings and handling electronic filing in both state and federal courts. The job responsibilities will include, but will not be limited to, the following: Prepare correspondence, pleadings, contracts, other documents and/or memoranda in draft and in final form from handwritten material, typed copy and transcription files; Draft correspondence and basic court filings, notices, pleadings and/or other documents for attorney to finalize as requested; Prepare, submit and maintain attorney(s) weekly time records; Set up, maintain, and ensure that files are kept current including classifying, arranging files, filing, and storing information. Requests files from Records Department; Monitor, prioritize, organize, and facilitate daily workflow in order to meet project deadlines. This includes all administrative tasks including scheduling meetings, calendar management, processing expense reimbursements etc.; Maintain e-mails and/or documents on DMS as determined by attorney and paralegal; Communicate with other legal and support departments as well as regional offices as needed; Open New Matter/New Client Reports, as requested, and arrange for conflict checks. Requirements: 5+ years of progressively responsible and varied legal assistant experience; Familiarity with general processes, systems philosophies, structure, methods and approaches of mid-to-large sized firms; Exceptionally strong organizational skills and work ethic in delivering client products in a timely and organized manner; Excellent verbal and written communication with attorneys, clients, counsel and colleagues; Knowledge of business English, spelling, punctuation, grammar and basic legal terminology; Knowledge of legal office practices and procedures; Knowledge of various court electronic filing procedures for applicable practice areas; Skill in the use of software systems such as Word, DMS, Excel, Elite, Outlook, Workshare Compare, Adobe, and Power Point; Skill in typing and transcribing accurately at a rate of 70 + words per minute; Ability to organize and prioritize tasks, while working effectively under pressure to meet deadlines; Ability to establish good rapport with attorneys, clients, and other employees; Ability to understand and follow written and oral instructions; Ability to proofread a variety of documents and to pay attention to detail.
