The Client Services Rover acts as a customer service champion and liaison between the Sales Agents and Office Management or the Central Region Service Center Office. The Client Services Rover position supports the Client Services department in multiple offices as coverage for vacations as well as for increases in general work volume. This may include assisting agents with questions, conducting general administrative tasks and providing reception support. This position may be required to work weekends.

Job Duties:

+ Agent Support: Responsible for supporting and providing exceptional customer service to all agents. This includes but is not limited to:

n


+ First point of contact for agent questions and needs.

n

+ Scan Transaction paperwork on behalf of agents to InDoc.

n

+ Answer and review agent commission check questions before sending to the Transaction Manager.

n


+ Administrative: Responsible for a variety of administrative tasks. This includes but is not limited to:

n


+ Follow up on Deals in Red.

n

+ Scan Live checks in InDoc and send Live checks to Deerfield Service Center.

n

+ Scan earnest Money releases in InDoc.

n

+ Scan closing checks into Check 21.

n

+ Order signs

n

+ Schedule Tours

n

+ Send Thank you emails

n


+ Reception: Responsible for providing a warm and welcoming environment for visitors and callers alike. This includes but is not limited to:

n


+ Answering phones and directing callers to the appropriate destination. Checking and responding to voicemails as needed.

n

+ Welcomes on-site visitors and determines nature of business and announces visitors to appropriate personnel.

n

+ Receives, sorts and routes mail to appropriate personnel.n

Other Duties:

+ Manage & maintain physical office space:n


+ Maintain Copy Machine operational

n

+ Ensure that proper security steps are taken

n

+ Ensure that office space is clean and orderly at all times

n

+ Attend required webinars and conference calls to remain current with business trends and requirements.

Qualifications:

nn


+ High School Diploma required.

n

+ 2 years customer service experience required; Prior Real Estate strongly preferred.

n

+ Technologically pro icient in all areas including but not limited to: familiarity with various operating systems on PCs and Macs and ability to navigate computer software and hardware

n

+ Ability to learn new software programs on an as needed basis, skillful in using the following programs including, but not limited to: Microsoft office programs such as Outlook, Word, Excel, PowerPoint, and Publisher, and Adobe programs such as Adobe Acrobat

n

+ Creative problem solving skills.

n

+ Ability to communicate with different audiences to convey message successfully and to change gear quickly to support different customers

n

+ Ability to multi-task, prioritize and be flexible with changing business needs in a team environment as well as manage deadlines and time constraints.
