Job Description

Pay: $20-$22

Length: 12 months (contract to hire)


Key Commercial HR Support Responsibilities:

Organizes high-level meetings and complex domestic and international travel arrangements

Maintains executive calendars and travel schedules

Coordinates all meeting logistics, including: scheduling, invitations, document preparation, conference call set-up, catering, etc.

Supports creation of applicable materials for meetings

Works with leadership team on functional projects and special reports

Develops and modifies new and existing PowerPoint presentations, correspondence and spreadsheets

Handles sensitive information requiring a high degree of discretion and confidentiality

Prepares and reconciles travel expense reports

Maintains organizational charts, phone lists and files

Performs general office duties; maintains files, orders supplies

Manages data intensive projects requiring advanced knowledge of excel, pivot tables, v-lookup, formulas, linking and automating workbooks.

Coordinates projects across regional geographies and HR Directors requiring navigation of multiple level stakeholders, countries, time zones and compilation of data across various reports.

Completes all other position related duties as assigned or requested


Minimum of 8 years- experience as an executive administrative assistant supporting senior executives in a large company

Experienced in supporting organizations based in multiple locations worldwide

Experienced in managing multiple concurrent tasks, meeting rigid deadlines, and working independently

Demonstrated ability to partner with other administrative professionals in order to manage competing needs

Able to learn the executives- primary business objectives, and through this understanding is able to anticipate administrative needs of the executives

Basic understanding of business principles

Must present a high degree of professionalism in both written and verbal communication

Strong problem solving skills and reasoning to solve administrative issues

Customer/client focused

Able to handle confidential material in a professional manner

Must be proficient in spreadsheet, presentation, & mail software such as MS Word, Excel, PowerPoint, Outlook, and general MS Windows operations

Excellent attention to detail

Demonstrated ability to anticipate the needs of others

Exceptional written and oral communication skills

Managing administrative support in an international environment

Sense of urgency and execution focus essential


Associates Degree or equivalent combination of education and experience a plus; BS/BA preferred
