Stantec’s Environmental Services Group , has an immediate opportunity for an Administrative Assistant to join our Calgary office. This is a great opportunity for a seasoned professional who has experience supporting leadership-level staff. The person will take pride in meaningful and impactful work and act as a right hand to the leadership in our Environmental Services Group in our Calgary office, maintaining confidentiality and strict ethical standards at all times. The successful candidate will also engage with other staff within the Business Centre, as required.

Your Duties:

The varied duties and responsibilities will include but are not limited to;

  • Proactively assisting the Managing Leader and the rest of leadership for our Environmental Services Group in Calgary across multiple areas

  • Provide administrative support to the Business Centre, where required

  • Manage leadership’s calendars and meeting schedules, as required, to maximize the best use of their time

  • Provide daily updates to the Managing Lead and flag priority items for the day, week, or month ahead, and record and initiate actions required on their behalf

  • Optimize information flow between Managing Lead, leadership, staff, and internal clients (i.e. HR, other BCs)

  • Attend leadership team meetings, document action items and initiate follow up

  • Compile, edit and proofread correspondence prior to distribution; including various documents, reports, emails, announcements, and e-newsletters

  • Collaborate across functional teams from facilities, human resources, and marketing to achieve results and ensure various operational initiatives are completed in a timely manner

  • Develop and maintain an organized filing system

  • Plan and coordinate travel coordination and administer expense submissions

  • Other administrative duties as required

Your Capabilities and Credentials:

The successful candidate will possess:

  • Post-secondary education relating to Business or Business Administration

  • Minimum of 8 years’ progressive experience, with 3 years’ experience supporting senior staff in a complex dynamic professional services organization

  • Proficient user of SharePoint

  • Master user of MS office including Excel, Word, PowerPoint, and Outlook

  • Experience with Adobe Illustrator or similar software for the creation of organization charts would be highly desirable

  • Demonstrated research and writing skills, along with solid verbal communication

  • Proven high attention to detail with experience editing and proofreading documents

  • Experience developing creative, original, and engaging communication and presentations

  • Excellent at fostering internal and external business relationships with superb interpersonal skills

  • Demonstrated organizational skills with an ability to prioritize work

  • Proven critical thinking and problem-solving skills
