We are looking for anAdministative Assistantto provide a wide array of administrative support to our HIV Case Management program.

Case Management serves HIV-infected adults, children, and adolescents and their families. Staff advocates for financial, medical, and other support services to help individuals improve their quality of life. The program provides a welcoming and affirming

Must have a high school diploma or GED. Experience working directly with HIV/AIDS population and experience working with substance abuse/addictions strongly desired. Bi-lingual in English, Portuguese, Cape Verdean Creole and/or Haitian Creole is preferred.

A valid driver's license and own means of transportation is required.

Description

Responsibilities:

  • Perform secretarial duties including answering phones and greeting persons served in a pleasant and professional manner.

  • Enter persons served demographics and utilizations into MDPH CareWare database on a monthly basis.

  • Assist Medical Case Managers and Peer Advocates in translation with persons served as needed.

  • Maintain office files.

  • Attend various meetings record and distribute minutes as needed.

  • Maintain office supply inventory at Case Management including ordering of supplies.

  • Maintain persons served mailing list and assist in development and distribution of client newsletter and/or monthly mailings.

  • Operate office machinery such as computer, photocopier, fax etc.

  • Assist in monthly persons served food delivery/pick up tasks and activities.

  • Assist in program activities as needed.

  • Maintain personnel and person served information in strict confidence.

  • Perform duties consistent with agency/program policies and procedures.

  • Execute duties to reflect reasonable safety standards. Universal/standard precautions must be utilized and training obtained in areas that constitute risk

  • Perform other related work duties as needed or as required by supervisor or designee

Qualifications:

  • High School Diploma or equivalent required.

  • Experience working directly with HIV/AIDS population strongly desired.

  • Experience working with substance abuse/addictions desired.

  • Bi-lingual in English, Portuguese, Cape Verdean and/or Haitian Creole strongly desired.

  • Experience with medical and/or social translation strongly desired.

  • Ability to work both independently and as a team required.

  • Excellent written and oral communication skills required.

  • Excellent organizational skills required.

  • Experience in Word, Excel, and Power Point required.

  • Must have valid driver’s license and have own means of transportation.

  • Familiarity with Greater Brockton Community desired.

  • Must have the ability to move items weighing up to 40 lbs from floor level to approximately 4 feet above floor level.

  • Must be able to ascend and descend staircases while moving items weighing up to 20 lbs.
