Essential FunctionsAnswer telephones, responding to routine inquiries phone calls and forwarding calls to appropriate individuals. Manage the phone system.Greet all incoming visitors and direct to proper R2LP staff or scheduled meeting and ensure security procedures are followed.Sort and distribute incoming and outgoing mail. Operate electronic mailing equipment for all R2LP materials. Interact with courier companies.File materials in general files area.Create and maintain a friendly and positive rapport with community members via telephone and in person interactions.May assist other administrative staff with overflow work, including special projects and mailings.Assist in training and support staff in the use of basic office systems.Assist in translating and preparing R2LP documents/materials when needed.Copy office documents/materials for staff, trainings and events.Organize and save event photos on computer system.Coordinate equipment requests and needs used for trainings and events (cameras, translation equipment, etc.).Provide meeting/event logistics support including but not limited to ordering refreshments and assisting in event set-up.Attend meetings as scheduled and contribute to the growth and sustainability of R2LP office functions.Additional FunctionsRespect and maintain confidentiality, parameters of operation, professional protocols, and individual privacy.Perform other duties as assigned by the supervisor or his/her designee.The willingness to teach and learn from a diverse group of co-workers.Troubleshoot office machinery problems independently or through service calls to resolve the problems and provide solutions.Requirements: Prerequisite QualificationsA high school diploma or equivalent.A minimum of three years of experience in a related position.Proficiency in written and spoken English and Spanish.Strong organizational, computer, and writing skills.Able to perform all job duties and responsibilities with or without reasonable accommodation.
