Position Overview

Perform primary responsibilities as multi-line operator/front desk receptionist. Provide clerical support and perform miscellaneous duties as assigned and as needed.

Supervision Received

Routine duties are performed with minimal supervision; follow standard practices or procedures to proceed alone at routine work; occasional check of work while in progress; work is reviewed upon completion.

Key Responsibilities (Essential Duties and Functions)

  • Observes all safety standards and participates in the Company’s efforts to provide a safe work environment. Keeps work area clean and hazard free. Wears appropriate personal protective equipment – eye protection, hearing protection, hardhat, safety vest, footwear, and respirator where required. Recognizes and corrects unsafe work practices and hazardous conditions or reports such conditions to appropriate personnel. Is aware of locations of material safety data sheets (MSDS) and refers to them when necessary.

  • Perform primary duties as multi-line operator/front desk receptionist. This includes answering and directing all incoming calls; tracking arrivals and departures of office personnel; greeting walk-in traffic and directing to appropriate area; receiving and distributing mail, special deliveries, freight deliveries, faxes, etc.

  • Ensures that office equipment is maintained.

  • Update monthly extension listings and ensure they are distributed.

  • Process incoming mail and funds in postage meter as needed.

  • Reconcile daily cash sales and prepare daily bank deposits.

  • Scan documents to appropriate accounting departments.

  • Order office supplies and keep supply room organized and tidy.

  • Maintains petty cash including control log, reconciliations and check requests.

  • Types, proofreads and distributes various reports, correspondence, proposals, and lists as requested.

  • Makes copies of reports, correspondence, documents and other pertinent information as requested.

  • Provide administrative support to all managers.

  • Perform other job related responsibilities and special projects as requested.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education Level: High School graduate or equivalent.

Experience Required: One to two years of in general office experience. General accounting knowledge is preferred.

Knowledge Required: Ability to answer telephones and greet the public in a friendly and courteous manner. Thorough knowledge of office practices, procedures, and equipment. Knowledge of basic math skills; 10-key by touch; Microsoft Word and Excel proficiency; Strong verbal and written communication skills; Professional ethics, tact, and courtesy in interactions with management, team members, vendors, and internal/external customers; demonstrated ability to safely plan and set work priorities in a cost effective manner.
