This Administrative Assistant is the principal support for the General Manager of Correctional Industries at Airway Heights Corrections Center, ensuring confidentiality of all matters relative to 600 incarcerated workers and 100 employees and operational managers. This position will provide support to the General Manager in a combination of functional areas including, but not limited to:

Performs confidential administrative and secretarial support to the General Manager of AHCC Correctional Industries.

  • Coordinates office operations; screens, prioritizes, and distributes mail; prepares, transcribes and disseminates meeting minutes, screens calls and visitors
  • Coordinates with departmental staff members on administrative practices and procedures, independently researches and compiles data necessary for reports and special projects, drafts correspondence for review and approval by using the Department's correspondence guidelines Personnel Administration Support
  • Coordinates with other departmental staff members on administrative practices and procedures
  • Serves as a liaison between supervisor and other staff members, relaying assignments and requesting status updates and information
  • Provides assistance with recruitment activities
  • Tracks Performance and Development Plans and staff training for compliance and reporting purposes
  • Tracks attendance and vacation scheduling for represented and non-represented staff to coordinate coverage Monitors program activities for policy compliance
  • Responsible for audit coordination and corrective action plan tracking
  • Monitors and collects job shop schedules, pay level increases and certificates of proficiency for General Manager review/signature Represents AHCC Correctional Industries on a variety of committees
  • Attends meetings for Chemical Control Committee, Infectious Disease Committee (IDC), and Sustainability Committee
  • Shares meetings agendas and minutes with General Manager for distribution
  • Assumes role of recorder/scribe in an emergency where the Incident Command System (ICS) is activated Qualifications


  • High school graduation or GED equivalent.
  • Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting or general administrative work.
  • Strong interpersonal communication, collaboration and analytic skills.


  • Two (2) or more years of use or skilled proficiency using productivity software and internal based applications (examples include Microsoft Word, Excel, Access, Power Point, Outlook and SharePoint).
  • Four (4) or more years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting or general administrative work.
  • Associate's Degree (AA) from a College or University whose accreditations are recognized by the U.S. Department of Education or the Council for Higher Education Accreditation (CHEA) or foreign equivalent in Business, Public Administration, Accounting, or closely related field.

Special requirements/Conditions of employment:

  • Maintain regular and reliable attendance.
  • Complete a felony disclosure form prior to employment and submit to a criminal background check.
  • Successfully complete, within mandated timeframes, employee orientation and all other mandatory annual, in-service and other required training.
  • Provide physical residential address and home telephone number to the Department of Corrections.
  • Become familiar and comply with all DOC policies and procedures and Collective Bargaining Agreements as applicable.
  • Submit to drug testing in accordance with CBA and agency policy.
  • Must possess and maintain a valid driver's license. Supplemental Information
